Phone Extensions for Business

Phone ExtensionsWhat are Phone Extensions?

Phone extensions are single and multi-digit direct dial extensions that can be configured to route callers directly to your team members & departments.

Extensions can be set up to route calls to a single phone, multiple phones, desktop users, automated messages, or voicemail. You can also add a dial-by-name or list directory, so callers can easily select the team member or department they need.

With Talkroute, you can add as many multi-digit extensions as you need. There’s no limit!

What you can do with Phone Extensions

  • Single-Digit Extensions

    Give Your Callers More Options

Single-digit extensions, or menu options, make it easy to direct callers to specific departments like sales or support.

For smaller teams, these extensions can also work as direct-dial options for individual team members.

When paired with call menus and submenus, single-digit extensions can offer multiple layers of choices, giving callers a simple way to reach the right person or department.

Add as Many Extensions as You Need

With Talkroute, you can create unlimited multi-digit extensions, these are 3 or 4-digit direct dial options.

These extensions can route calls directly to your team members or departments. You can also set them up to send calls to a single phone, multiple phones, desktop users, automated messages, or voicemail.

There’s no limit—add as many extensions as your business needs!

  • Automated Messages

Give Callers Easy Access to Important Information

Set up extensions that play automated messages to share important details with your callers, like your business hours, without them needing to speak to someone directly.

You can upload or record custom messages straight from your online account.

After the message finishes, callers can be routed back to the call menu, a submenu, a phone number, a user, or a voicemail box—whatever works best for your setup!

  • Dial-by-Name Directories

    Connect Callers to Your Team

Set up dial-by-name directories so callers can easily connect with the right team member.

If you have team members with the same first or last name, no problem! You can add a submenu to help callers choose the right person.

You can create list directories that allow callers to choose from multiple options by entering a 3 or 4-digit extension.

The call menu gives you the ability to create 10 (0-9) single-digit extensions (also known as menu options). However, you can add more single digit extensions by adding submenus to your call menu.

A common example of this is to have multiple submenus that provide different 0-9 single-digit extensions based on the language that was selected by the caller.

You may add as many submenus & single-digit extensions as needed.

Multi-digit extensions are unlimited and you may add as many as needed. 3-digit extensions have a range of 100-999 & 4-digit extensions have a range of 1000-9999

Phone number extensions are additional numbers linked to a main phone number in a business phone system. For example, if the main number is 1 (312) 555-1234, an extension might be 1 (312) 555-1234-101.

These phone extension numbers allow incoming calls to be routed directly to a specific desk phone, team, or even a virtual phone extension without needing a separate phone number for each employee.

Extensions are common in offices, call centers, and businesses using VoIP phone systems or traditional business phone services.

A mobile phone typically doesn’t have a built-in extension like desk phones in a business phone system. However, many businesses can use virtual phone numbers or VoIP phone systems to create extensions that forward calls to a mobile phone.

This setup is great for remote workers or team members who aren’t tied to a desk phone but still need their phone calls routed through the business system.

You can usually find your phone extension by checking the business phone system’s directory, asking your office administrator, or looking at the settings on your phone.

If you’re using a VoIP phone system or a virtual phone number, your extension might also show up in the app or online platform used for call forwarding or routing calls. It’s often a short number, like 101 or 202, added to the main phone number.

A phone extension is a short number added to a main phone number in a business phone system. It allows incoming calls to be routed directly to a specific person, department, or even a cell phone.

Phone extensions work by simplifying how calls are directed within a company, so there’s no need for separate numbers for everyone.

This feature is especially common in VoIP phone systems, where call forwarding and routing calls are handled easily. Businesses often use phone extensions to manage large call volumes efficiently.
