Reporting

See every call, text, and voicemail. In one place.

Reporting turns your Talkroute activity into clear answers: how many calls you answered and missed, when your phones are busiest, which numbers work hardest, and what’s still waiting on a reply. It’s built into the Talkroute app you already use, so there’s nothing to set up.

Who it’s for

Two questions Reporting answers fast.

“How is the business doing on the phones?”

You’re the owner or manager and you want the big picture without digging through call logs. The Overview shows calls, texts, and voicemail side by side, with trends over time and what needs attention right now.

  • Call, text, and voicemail summaries on one screen
  • A combined activity trend across every channel
  • Missed calls, unread texts, and unread voicemails flagged up top
Ideal for: owners and managers who want a weekly pulse check in under a minute.

“Where exactly are we losing calls?”

You run the front desk, sales line, or support team and you need detail. Open the Calls, Texts, or Voicemail report, filter down to a number, a menu option, or an extension, and export the records behind it.

  • Answered, missed, and hung-up calls broken out by number
  • Peak call times by day and hour, so you can staff for the rush
  • Filter by menu option, extension, user, duration, and more
Ideal for: office managers and team leads at clinics, agencies, service businesses, and sales teams.

Same reports, same data. Start broad with the Overview, then click any summary card to open the full report.

Use cases

What teams use Reporting for.

Catch missed calls

See your missed % for inbound calls and the exact days it climbs, then fix the coverage gap.

Missed %: 88 of 962 inbound calls, mostly Thursday mornings.

Staff for the rush

The Peak call times heatmap shows call volume by day and hour, so you can schedule people when the phones actually ring.

Busiest hour: Mon–Thu, 10–11a. Add a second person to the front desk.

Compare your numbers

Calls by number shows total and missed calls for each Talkroute number, so you can see which lines (and which ads) bring in the most calls.

Spring mailer line: 312 calls this month vs. 140 last month.

Clear the voicemail backlog

See unread voicemails by mailbox and the oldest ones still waiting, so nothing sits for a week.

Oldest unread: Support mailbox, 6 days. Time for a callback.

Measure texting

Track conversations, messages, and inbound vs. outbound threads to see how much of your customer contact happens over text.

Avg messages / conversation: 6.4, up from 4.9 last month.

Report up the chain

Save any report as a clean PDF for your weekly meeting, or download a CSV for your own spreadsheets.

Monday 9am: Last 7 days → Save as PDF → attach to the team update.

How it works

Four reports. Every channel covered.

Overview

Your whole phone system on one screen.

The Overview puts calls, texts, and voicemail side by side, with one trend line for each. Anything that needs a response, like missed calls, unread texts, or unread voicemails, is called out at the top. Click any summary card to open the full report.

  • Call, Text, and Voicemail summary cards that link to the full report
  • Activity chart covering calls, texts, and voicemails together
  • Presets like “Calls + activity” to focus on the channel you care about
  • Customize which sections show, and your layout is saved for next time

Calls report

Know when the phones ring, and who picks up.

The Calls report breaks every call down by outcome, direction, number, and time of day. See your inbound answer and miss rate, find your peak hours, and check how calls move through your menu options and extensions.

  • Total, answered, missed, and hung-up calls, plus incoming vs. outgoing
  • Peak call times heatmap by day of week and hour
  • Calls by number, menu option, and extension
  • Top users & forwarding numbers answering calls
  • Filter by number, status, direction, duration, user, menu option, extension, or mailbox

Texts report

See how your customers are texting.

Texting is now a big part of how customers reach you. The Texts report shows conversation and message volume over time, how many threads customers started vs. how many your team started, your busiest texting hours, and which numbers and contacts are most active.

  • Conversations, messages, and average messages per conversation
  • Message volume trend split into inbound and outbound threads
  • Busiest times heatmap for texting
  • Texts by number and top contacts
  • Filter by number, first or last message date, and message count

Voicemail report

Make sure every voicemail gets a callback.

Voicemails are customers waiting to hear back. The Voicemail report tracks volume over time, your unread backlog for each mailbox, and the oldest messages nobody has listened to yet, so you know who to call first.

  • Voicemails, unread count, and average duration
  • Voicemail volume trend
  • Total and unread voicemails by mailbox
  • Oldest unread voicemails, with their age in days
  • Filter by mailbox, caller number, duration, and read status

Export

Take your data anywhere.

Every report has a Download CSV button that exports the records behind it, not just the chart totals. Open it in Excel or Google Sheets, or load it into your own tools. Prefer something to hand around the table? Save as PDF gives you a clean, print-ready version of the report.

  • CSV export on Overview, Calls, Texts, and Voicemail
  • Call exports include direction, result, external and Talkroute numbers, duration, and whether the call was recorded
  • Save as PDF for a print-friendly copy of any report
  • Export filtered call, text, and voicemail history too

FAQ

Frequently asked questions

Which plans include Reporting?

Reporting is included with Pro and every plan above it. On Basic or Plus, you can still open Reporting and see a preview, then upgrade to Pro right from the app. View plans →

Where do I find Reporting?

Open the History & Reporting window in the Talkroute app. Your call, text, and voicemail history is under History, and the Overview, Calls, Texts, and Voicemail reports are under Reporting.

What’s the difference between History and Reporting?

History is the record-by-record log: every call, text conversation, and voicemail. Reporting adds up those same records into totals, trends, heatmaps, and breakdowns by number, mailbox, and more, so you can spot patterns without scrolling through a log.

What date ranges can I report on?

Choose Today, Last 7 days, Last 30 days, or Month to date, or set your own custom From and To dates. For very busy accounts and long date ranges, charts are based on the most recent activity in the range and the report tells you when that happens. Narrow the range to see full chart detail. Call totals stay exact either way.

Which timezone do the reports use?

Reports use your Talkroute account’s timezone, so “today,” daily trends, and peak hours line up with your business hours no matter where a teammate is working from.

Can I export the data?

Yes. Every report has a Download CSV button that exports the underlying records (calls, text conversations, or voicemails) for the selected date range, plus a Save as PDF option for a print-friendly version. Very large exports are capped per file. If you hit the cap, narrow the date range to export the rest.

How are inbound and outbound texts counted?

The Texts report counts conversation threads. A thread is inbound or outbound based on the direction of its most recent message. Total message counts are shown separately.

Can I filter reports by number, extension, or mailbox?

Yes. The Calls report filters by number, status, direction, duration, user or forwarding number, menu option, extension, and voice mailbox. Texts filters by number, first and last message date, and number of messages. Voicemail filters by mailbox, caller number, duration, and read status.

Stop guessing. Start seeing your calls clearly.

Upgrade to Pro and get Reporting for calls, texts, and voicemail, built right into the Talkroute app.

After upgrading, Reporting unlocks right away. Your existing call, text, and voicemail activity is ready to explore.
